The Administrative Assistant provides administrative and processing support, including filing & copying, to Audit & Security staff at the direction of the Vice President Audit & Security.

Essential Duties & Responsibilities include but not limited to:

  • Generates miscellaneous correspondence/reports as assigned by the VP Audit & Security.
  • Handles Loan Confirmation letter generation, tracking and reporting. Produces the Quarterly Loan Confirmation Report for the Supervisory Committee meetings.
  • Files, tracks and maintains spreadsheet for the department's vendor billing invoices. This includes the security equipment, alarm monitoring and permits, insurance, security guards hired for all Credit Union locations and offsite engagements, etc.
  • Investigates and corrects addresses for Address Change Letter, New Welcome Letter and New Account Packet Returned Mail. Maintains tracking and distribution as required.
  • Tracks and maintains spreadsheet for restitution checks received. Completes and submits posting voucher for crediting to appropriate GL and/or account.
  • Handles routine requests for information and confirmations from outside parties. Obtains documentation from branches/departments and processes accordingly.
  • Assists the VP Audit and Security with maintaining and tracking of the Credit Union's Insurance Policies. Files, tracks and monitors claims. Claims include property damage to any of Schools Credit Union locations, branch slip and falls, other types of accidents requiring insurance coverage, etc.
  • Creates, proofs, edits and finalizes member correspondence and miscellaneous correspondence for approval of Vice President Audit & Security.
  • Responsible for balancing department GLs assigned to the Audit & Security department and completes and submits monthly reconciliation for approval

Skills and Experience include the following:

  • High school diploma or general education degree (GED),
  • An AA degree in Accounting, Business or related field is preferred.
  • Two years experience in a financial institution, audit, accounting, or related function.
  • Excellent written and verbal communication skills.

The Electronic Services Rep is responsible for daily operation of Electronic Services including SchoolsOnline, Mobile Banking, BillPay and Quicken. They provide quality member service to members who access the Call Center by all electronic methods, telephone, fax or mail regarding questions or problems with accounts, services, or loans.

Essential duties and responsibilities include the following:

  • Processes transaction requests in accordance with Credit Union guidelines; researches and makes adjustments to member accounts as necessary; provides service and rate information; processes inquires regarding account information, Credit Union policies and procedures.
  • First point of contact for members using Schools Message Board, Secure Messaging (using the servicing e-mail addresses webmaster@schools.org and memberservcies@schools.org) This includes the responsibility to oversee Mobile Banking, and BillPay, Quicken, MFA and processes and contacting members who have reported challenges with any online service.
  • Cross-sells Credit Union products and services through effective use of sales skills and extensive product and service knowledge including consumer loan expertise.
  • Services members with electronic banking needs by providing SchoolsOnline members with quality member service when responding to their questions, comments, etc. via phone, schools.org message board, and secure messaging in order to assist members. Provides administrative assistance, via third party web sites, to monitor and update access in response to members who have challenges with online services.
  • Assists with reporting, testing and problem resolution, as needed, and troubleshoots errors members encounter when performing transactions at schools.org. As needed, coordinates research with third party vendors via Web Ex sessions if needed, in order to resolve technical issues.
  • Promotes and maintains quality member service at all times. Cultivates relationships with department and branch personnel to develop a team atmosphere within the Credit Union.

Required Skills and Experience include the following:

  • High school diploma or general education degree (GED), business courses preferred or equivalent work experience.
  • Minimum three years experience with a financial institution with specialized training in electronic services such as online and mobile banking, BillPay are required.
  • Experience with operations, member services, policy and procedures and various computer software is preferred.
